Open to all male parishioners 18 years of age and older, the Men's Association provides opportunities for men to participate in spiritual activities and social activities designed to bring parishioners together. The Men's Association sponsors the Mardi Gras/Pasta Supper, the Parish Family Picnic, and the Men’s Retreat Weekend.

Commitment

  • Periodic meetings, usually one a month (7:00pm), approximately ten a year, held in the rectory basement 
  • Pasta Supper (April), Steak Night (May), Baseball Game (June), Family Picnic (August), Children's Christmas Party (December), Golf Tournament, Spaghetti Dinner. Assistance required for setup, cleanup, and during events .
  • Participate in Evening of Reflection (October), Retreat Weekend (February), Membership Drive, Book of Prayer.

Stewardship Rewards and Opportunities

  • Meet with other men in the parish, enjoying spiritual and social fellowship
  • Provide the parish with opportunities to come together and grow spiritually and socially
  • Function as a body of men who can assist other parish groups on an as needed basis

BY-LAWS for CHURCH OF THE INCARNATION MEN’S ASSOCIATION

ARTICLE I

NAME: THE NAME OF THIS BODY SHALL BE "THE CHURCH OF THE
INCARNATION MEN’S ASSOCIATION"
hereafter known as the "Men's Association".

ARTICLE II

PURPOSE AND FUNCTION: The purpose and function of the Men’s Association is to:
Provide opportunities for men in the parish to participate in special spiritually rewarding
activities and in other social activities designed to bring parishioners together. This organization has been formed as a non-profit association and does not contemplate the distribution of gains, profits, or dividends to the members thereof and that upon the dissolution of this association, any assets then owned by the association shall be distributed to THE CHURCH OF THE INCARNATION.

ARTICLE III

MEMBERSHIP: Any male member of the parish of The Church of the Incarnation, Wethersfield, eighteen (18) years or older shall be eligible for membership. Any member shall have the right to vote or hold office in the Men’s Association.

ARTICLE IV

OFFICERS: Officers of the Men’s Association shall be as follows: President, one Vice-President, Secretary and Treasurer and such other officers as the Men’s Association may from time to time elect. These officers shall be elected annually by and from the membership and shall hold office until the new officers have been elected at the annual meeting, or until their successors have been elected.

PAST PRESIDENTS: The retiring President shall serve as an adviser to the Board of Officers the year following his term as President, if he is not a member of the Board during such year. He shall attend meetings and serve on the Board as an ex-officio member.

PRESIDENT: The President shall preside at all meetings, enforce an observance of all Bylaws and Rules, appoint standing committees, call special committees of the Association and perform all other duties usually pertaining to the office as Chief Executive Officer of the Association. The President shall be an ex-officio member of all committees. He shall have the authority to fill vacancies on the committees and remove the members of any committee subject to the affirmation of the Board of Officers.

VICE PRESIDENT: In the absence or disability of the President, the Vice President shall preside at all meetings of the Association and shall perform such other duties as the President, the Board of Officers and/or the membership may prescribe. The Vice President may serve as a Chairman of a committee.

SECRETARY: The Secretary shall keep a record of all the meetings of the Members of the Association and of the Board of Officers. He shall give notice of all regular and special meetings to the members of the Association. He will keep a record of all Officers and members thereof, He shall issue all notices to members and Officers and shall conduct and be responsible for all correspondence or notices as may be required in the performance of his duties.

TREASURER: The Treasurer shall administer the financial affairs of the Association. He shall supervise the collection of all money owed to the Association. He shall deposit all Association funds in the name of the Association in such banks as the Board of Officers shall designate, subject to withdrawal as the Board of Officers may from time to time designate. He shall pay all accounts and charges that have been properly approved and shall cause to be kept and maintained proper books of account, and shall on request exhibit such books of account to the President, or to the Board of Officers. He shall cooperate with all other committees whose duties and functions touch upon the financial status and affairs of the Association’s activities.

At the end of the fiscal year, as defined at Article VI, he shall make a report of the balance of all Association bank accounts to the Association.

If the President and Vice President are absent, the Secretary or Treasurer shall serve in that order as presiding officer.

All written contracts, agreements, or other instruments must be signed and executed by at least two officers of the Association.

ARTICLE V

ELECTION OF OFFICERS: The election of the Officers shall take place in April of each year at such time and place as the Board of Officers may deem appropriate. Voting shall be in person. Those members who find it impossible to vote in person may vote by mail on special absentee ballots provided for that purpose, and made available to qualified members desiring to use them not less than three (3) days before an election and must be received at the home of the Secretary of the Association on or before 5:00 p.m. on the date of the election.

The Board of Officers shall annually, at least forty five (45) days prior to the date of the annual meeting of the Association, appoint a Nominating Committee consisting of at least 3 members of the Association. Said nominating Committee shall promptly meet and nominate one or more candidates for each position on the Board of Officers which is to be filled at the annual election. The list of those nominated by such Committee shall be posted on the bulletin board of the Church at least twenty (20) days before the election. Voting members of the Association, not less than twenty (20) in number, may nominate other candidates for positions on the Board. Such nominations shall be in writing, shall be signed by the members making them, and shall be delivered to the Secretary at least eleven (11) days prior to the date of the annual meeting. The Secretary shall attach his certificate that such nominations have been made, and shall post said names with his certificate on the bulletin board at least ten (10) days before the election. After nominations have been made and posted as aforesaid, the Secretary of the Association shall present the names of all the nominees for each office at the annual meeting. The persons receiving the highest number of votes for-each office shall be declared elected. In case of a tie vote between any candidates, the previous Board of Officers shall make a selection between the tied candidates by lot and the candidate so selected shall be declared elected. No proxies will be allowed.

ARTICLE VI

FINANCE: The fiscal year of the Association shall begin on June 1st, and end on May 31st of the ensuing year.

The finance committee shall consist of the President, Vice President, Secretary, Treasurer, Past President, and Chaplain. Finance Committee meetings shall have a quorum of at least three (3) of the above members.

Following the election of officers, as defined at Article V, the Finance Committee shall prepare an operating budget for the upcoming year.  This budget will be presented to the Association by the June meeting.  The budget shall include the estimated expenses and revenue for all activities run by the Association.

At the end of the fiscal year, the Finance Committee shall allocate the amount of funds to be dispersed to the Church of the Incarnation.  The amount shall be the balance of all accounts less the amount of the subsequent fiscal year’s operating budget.  However, the Finance Committee, if it so desires, may donate up to, but not to exceed twenty five percent (25%) of that amount, to a charity or charities of its choice.  This dispersal shall be made by the following November meeting.

At the end of the fiscal year, the President, with the approval of the Pastor of the Church of the Incarnation, shall ask the Parish Finance Committee to examine the records of the Treasurer and certify to their accuracy.  The Treasurer’s records shall be submitted to the Parish Finance Committee no later than June 30th.

ARTICLE VII

MEETINGS:

ANNUAL MEETING: There shall be an annual meeting for the purpose of election of officers and the discussion of any other Association business that maybe pending at that time in April of each year.

SPECIAL MEETINGS: The Association may conduct special meetings for the purpose of such business as may properly come before the meeting. Notification of such meetings shall be posted in the weekly Church bulletin at least fifteen (15) days prior to the meeting.

ORDER OF BUSINESS: The order of business at all meetings of the Men’s Association shall be as follows, although the order of business to be followed at any meeting may be changed by the presiding officer in his sole discretion. Any of the following items may be dispensed with at the discretion of the presiding officer.:

  1. Roll call of the members present.
  2. Reading of minutes of preceding meetings and actions thereon;
  3. Reports of Officers
  4. Reports of Committees
  5. Unfinished business
  6. New business

ROBERT’S RULES OF ORDER: Except as otherwise provided in these bylaws, meetings of the regular members shall be governed by "Robert’s Rules of Order."

PROCEDURE AT MEETINGS: The presiding officer shall conduct the meeting in such manner and subject to such rules of order and/or procedure as he deems fair and appropriate to:

1. allow members in attendance a fair and reasonable opportunity to be heard on matters being discussed at the meeting and on any other matters of concern to the Association;

and

2. fairly, promptly and efficiently advance the business and goals of the Association.

VOTING: On any matter to be submitted to a vote, the presiding officer may require a written ballot, a secret ballot, a voice vote, show of hands or any other method he deems fair and reasonable under the circumstances.

ARTICLE VIII

These By-Laws may be amended in the following manner:

  1. Any member proposing an amendment shall submit a written proposal to the Secretary which shall include: the portion of the By-laws sought to be amended, and the proposed amendment thereto;
  2. The Secretary shall, upon receipt of this written request, inform the President and read the written proposal at the next meeting;
  3. The President shall call a Special Meeting and the notice, required by Article VI shall specify that a proposed amendment to the By-Laws is to be discussed, debated and decided at this meeting. The notice shall also advise members that the secretary has the written proposal and shall make a copy of the proposal available for inspection and copying to anyone who requests it;
  4. At the Special Meeting, the Secretary shall again read the proposal and the presiding officer shall thereafter open the floor to discussion and debate. The proposed changes to the proposed amendment may be entertained at this time. The proposed changes shall then be submitted to a vote at this meeting; and
  5. A two-thirds vote of the members present (no quorum requirements apply) shall be required to ratify the proposed amendment.

ARTICLE IX

The Secretary shall keep these By-Laws and shall make them available for inspection and/or copying to any member who requests them.

CERTIFICATION

This will certify that the foregoing is the original, as amended on April 9, 2003 of the By-Laws of the Church of the Incarnation Men’s Association, as voted upon and ratified by the Incarnation Men’s Association on this 9th day of April, 2003.
